What should a job completion checklist include?

A job completion checklist should establish what was finished, what remains and what information the office needs to invoice accurately.

The short answer

A job completion checklist should establish what was finished, what remains and what information the office needs to invoice accurately.

A job completion checklist should establish what was finished, what remains and what information the office needs to invoice accurately. It should not mark a job complete just because the crew left the site.

Office-ready completion checklist

Check Record
Agreed work Completed scope and relevant reference
Unfinished items Reason, responsibility and next action
Changes Confirmed additions and their outcome
Labour/materials Actual records and missing inputs
Evidence Relevant notes and photos with context
Customer communication What was confirmed, without overstating acceptance
Billing hand-off Ready for invoice or specific blocker

A photo proves what it depicts, not necessarily customer approval, legal compliance or the completion of work outside the frame. Keep those distinctions clear.

An illustrative completion

A crew finishes an agreed clearance but cannot complete an extra planting task because materials are missing. Record the clearance as finished and the additional task as open with a next action. The office can decide what is correctly billable under the agreement rather than relying on a blanket ‘done’ message.

Reconcile before closing the record

Check that the correct site and job received the field details. Resolve missing hours, ambiguous extras and unassigned follow-ups. Do not delay every invoice for a nonessential photo, but do not ignore information needed to establish the bill.

JobDiary supports field notes, photos, hours and work status. It does not convert a completion checklist into specialist certification or a legally conclusive sign-off. Use the record as a reliable office hand-off, with appropriate separate procedures where your trade requires them.
