Trial and setup

How does the free trial work?

30 days free, no card taken, so there is nothing to forget to cancel. You send the form and your logins arrive by email, usually within one working day. Add your customers and their cycles, and the diary runs from there. A fortnightly round rebuilds itself twice inside those 30 days, so you watch it run before you pay a cent. Carry on at €29 a month, or walk away and owe nothing.

Do I have to set it up myself?

You do, and it is quicker than you fear: add a customer, set the job's cycle, and the routes and respawns build themselves from there. An evening with the paper diary open beside you is all it needs. Rather hand it over? Add done-for-you setup for €99 once: send a photo of your paper diary and your round arrives loaded - customers, cycles, route order, the lot. The first business on JobDiary came over with 472 jobs from a paper diary, so yours will not frighten anyone.

I run everything on paper. Is switching a nightmare?

Start with the week you have on: add those jobs, set what repeats, and next week builds itself. Keep the book in the van as long as you like - the diary is not offended. If you would rather it all moved over in one go, done-for-you setup (€99 once) takes a photo of the book and we type the lot in for you.

Who is behind JobDiary?

JobDiary is built and run by me, Maebh Collins. It started as the system for a real two-van grounds round in Co. Louth: 472 jobs came off the paper diary on day one, and it has rebuilt that round, sent its invoices and chased its money every day since 2025. When you start a trial, I am the one who sets your diary up and answers your email.

Running the work

Will it work on the lads' phones? What about signal?

If the phone opens a web page, it runs JobDiary - any make, any age, his or yours. It does want a signal, the same as WhatsApp does. In a dead spot, finish the job and tick it done when the bars come back a field over.

Is it built for my trade?

It is built for owner-led crews that run a round - recurring jobs, regular customers, invoices to chase. Lawn and grounds care, window cleaning, cleaning, pest control, plumbing and heating, electrical, property maintenance. If your week looks like a diary of repeat visits, it fits. If your work is one-off jobs only, it will still quote and invoice, but the rounds engine is where it earns its keep.

Crew

What do the lads see on their phones?

One screen: today's run in driving order. They tap a job done as they finish, take a card payment at the door, and add a photo as proof of the finish. No logins to remember and no training needed. The crew app is included in the flat price, not sold per phone.

Why is there no per-user pricing?

Because per-user pricing punishes you for giving a lad a start. Others charge per user. Your summer lad shouldn't cost a second subscription. JobDiary is one flat price per business - €29 a month, everyone in.

Quotes and payments

How do payments work?

Through your own Stripe account, into your own bank. Every invoice carries a payment link, the customer pays by card, and the money goes straight from them to you. It never passes through JobDiary, and we take no cut - Stripe's standard card fee is the only cost, same as anywhere. Part payments are tracked too, so half-now-half-later never turns into a mystery.

What does the chasing actually sound like?

You should never have to ask twice for your own money. JobDiary asks for you, politely, at day 3, 7 and 14. The reminders read like a mannerly nudge from a busy tradesperson - the message you would send if you were not dreading sending it. Never a red-stamped final demand, never a solicitor's tone. The chasing stops the moment the money lands.

Your data

What happens if I stop?

You export your data - customers, jobs, invoices, the lot - free, in a format you can open anywhere. Then we delete what we hold, and that is that. No contract, no exit fee, nobody holding your round hostage.

Who owns my data, and what about GDPR?

You do, full stop. Your customer list is yours, your job history is yours, and JobDiary stores it only to run your diary. Nothing is sold, shared or fed to advertisers. It is handled under GDPR: export it any time, and if you leave, we delete it. The plain-English detail is in the privacy notice.
