Scheduling
Why your job schedule looks full but work still slips
A full-looking schedule can still contain an unrealistic workload.
The short answer
A full-looking schedule can still contain an unrealistic workload.
A full-looking schedule can still contain an unrealistic workload. The missing inputs are often travel, setup, access, crew skills or unfinished work. Diagnose which constraint caused the slip before adding more jobs or buying another scheduling screen.
Explore the wider scheduling and dispatch guides for the steps around this decision.
A capacity diagnosis
| Symptom | Check |
|---|---|
| Last job repeatedly moves | Whether travel and cleanup are included |
| A crew waits on site | Access, customer decisions or materials |
| The owner covers every exception | Assignment authority and shared instructions |
| Jobs require repeat unplanned visits | Scope and completion criteria |
| Two jobs need the same resource | Equipment/vehicle allocation |
Use records from actual days. Do not assume the whole problem is slow crew work when the plan itself is impossible.
Compare planned and actual time
In an illustrative day, three jobs need two hours each, plus ninety minutes of travel and an hour of setup/cleanup. They require eight and a half hours before any other interruptions. A calendar showing three two-hour blocks hides the extra time.
Separate delays into useful categories: underestimated work, agreed additions, waiting, access and travel. Each points to a different correction. Better estimating will not solve a locked gate; another van will not resolve unclear customer approval.
Keep unfinished work visible until it is assigned a new action. JobDiary supports schedule and job records, but the business still needs realistic inputs and a clear exception routine. A record of why work slipped is more useful than silently moving it to tomorrow.
