Scheduling
How to schedule jobs for two crews without double-booking
Schedule two crews by reserving people, time and the relevant job together.
The short answer
Schedule two crews by reserving people, time and the relevant job together.
Schedule two crews by reserving people, time and the relevant job together. Include travel, access and unfinished work before accepting another booking. An empty calendar gap is not spare capacity if the crew cannot reach the next site or lacks the equipment to do it.
Explore the wider scheduling and dispatch guides for the steps around this decision.
Plan a complete day
| Crew A, illustrative day | Crew B, illustrative day | Office check |
|---|---|---|
| Morning clearance | Regular maintenance visits | Addresses, access and equipment |
| Travel and unloading allowance | Travel between visits | Do not allocate the same van twice |
| Afternoon project stage | One-off garden visit | Materials and promised arrival window |
| Completion handover | Completion handover | Unfinished work and invoice readiness |
Estimate person-hours and elapsed time separately. Two people working three hours occupy three hours in the crew’s day but create six person-hours of labour. A single available person does not necessarily make a two-person job possible.
Handle a changed job visibly
If a site cannot be accessed, record why the work is blocked before moving it. Check which crew, equipment and date can cover it. Update the customer arrangement and make sure the field view reflects the changed booking.
Do not leave the original visit marked as complete simply to clear today’s list. Keep the difference between completed, deferred and cancelled work visible. End the day by checking work with no confirmed next date.
JobDiary includes scheduling and crew assignment. Test the actual rescheduling and field visibility with your team. Scheduling support should not be confused with automatic routing optimisation or automatic customer notification: those behaviours need their own verification.
Connect this to the next step
Continue with Route ordering vs automatic route optimisation. If the next issue is elsewhere in the workflow, use WhatsApp vs a shared job record for field crews.
