How to keep multi-visit work visible until it is finished

Keep multi-visit work open until its completion criteria are satisfied, even if today's visit is finished.

The short answer

Keep multi-visit work open until its completion criteria are satisfied, even if today's visit is finished.

Keep multi-visit work open until its completion criteria are satisfied, even if today’s visit is finished. A visit outcome and the project’s overall outcome are different records. This distinction prevents unfinished stages disappearing from the schedule.

Explore the wider projects and job delivery guides for the steps around this decision.

Suggested open-work tracker

Field Example
Project reference PROJ-001
Finished stage Preparation completed
Remaining work Planting and final cleanup
Constraint Awaiting agreed material choice
Owner of next action Project owner
Next review/visit Confirmed date or review action
Invoice position Record the actual issued invoice, if any

The example is a suggested method, not a claim that these are JobDiary’s exact project-state labels.

Record progress without hiding the remainder

After each visit, ask what was completed, what changed and what must happen before the next visit. Give blocked work a next action even when a new date cannot yet be promised.

In an illustrative landscaping project, a crew finishes preparation while the customer still needs to confirm planting choices. Mark preparation as complete and the wider project as open. Do not keep moving an empty appointment instead of naming the decision needed.

Before closing

Check the agreed scope, confirmed changes, remaining work, field evidence and office handover. Keep completion, invoicing and payment separately identifiable. A final visit on the calendar is not proof all three happened.

JobDiary supports live projects alongside one-off jobs and recurring work. It does not require you to pretend every visit is a separate customer or a fully finished project.
