Track partial payments as separate dated entries against the correct invoice, then calculate the remaining balance from the invoice, valid credits and recorded payments. Do not overwrite the original invoice total every time money arrives.
Explore the wider invoicing and getting paid guides for the steps around this decision.
An illustrative balance record
| Entry | Amount | Remaining balance |
|---|---|---|
| Invoice issued | EUR 900 | EUR 900 |
| Payment received | EUR 300 | EUR 600 |
| Second payment | EUR 250 | EUR 350 |
| Valid credit recorded | EUR 50 | EUR 300 |
The example describes operational arithmetic. The accounting/tax handling of deposits, credits and invoices should follow the business’s agreed process.
Identify each entry
Keep date, amount, method, transaction/reference and who recorded the payment where the system supports it. Allocate the money to the correct invoice rather than merely marking the customer as ‘paid’. A customer can have one cleared bill and another still outstanding.
Before chasing, compare recent bank or processor transactions with the ledger. A customer saying ‘I paid’ needs reconciliation, not another unchanged reminder. Handle overpayments and unidentified transfers as exceptions rather than forcing the balance to zero.
Distinguish invoice balance from bank receipts
Card-processing fees can mean the net settlement differs from the customer’s gross payment. Keep the fee visible in the relevant accounting process; do not treat the fee as an unpaid customer balance.
JobDiary includes part-payment records. Test the current payment and balance behaviour with a synthetic invoice, including two payments and a correction. Do not assume a specific automated bank reconciliation or credit-note function merely because the app tracks payments.
Connect this to the next step
