Pricing the work
How to agree extra work after a quote is accepted
Agree extra work by describing the change, its price and any effect on timing before the crew carries it out.

The short answer
Agree extra work by describing the change, its price and any effect on timing before the crew carries it out.
Agree extra work by describing the change, its price and any effect on timing before the crew carries it out. Keep that confirmation with the original job. A site conversation remembered differently by two people is a weak basis for the final invoice.

A variation confirmation template
Job/quote reference: [reference]
Requested change: [specific work]
What remains unchanged: [original scope]
Additional or revised price and tax basis: [checked amount]
Effect on timing/materials: [details]
Customer confirmation: [method and date]
Person authorised to proceed: [name/role]
This is a record structure, not a universal contract clause. Irish household work is subject to consumer rules; check current CCPC guidance and suitable advice for the terms used by your business.
Record a decision, not just a request
| Site event | Correct next step |
|---|---|
| Customer asks about more work | Describe and price it |
| Crew notices a necessary change | Refer it to the person authorised to agree scope |
| Revised work is accepted | Keep the confirmation and brief the crew |
| Price or scope is disputed | Pause the disputed addition and clarify it |
In an illustrative planting project, removing an old bed is not included in the accepted quote. The crew records the request, the owner prices it and the customer confirms before it becomes scheduled work. The invoice can then identify that agreed addition rather than surprise the customer.
Keep versions clear
Identify whether the change supplements or replaces the original scope. Retain the accepted original and the agreed revision. Link additional labour and materials to the same job so internal costing and customer billing do not lose the connection.
JobDiary supports job and project records, but this guide does not claim a particular legally binding variation approval mechanism. Use a supported, documented confirmation method and make sure the office can retrieve it before preparing the invoice.
