JobDiary product workflow

Keep the agreed work attached to the invoice.

JobDiary connects quotations and invoices to customers, jobs and projects. The purpose is a clear hand-off: what the customer agreed, what happened on site, what should be billed and what remains unpaid.

Quote the scope you can deliver

Use the price book and quote templates to describe the work and the basis of the price. Keep inclusions, exclusions and assumptions clear. A familiar line item still needs a site check when access, waste, duration or materials change. The accepted quote should give the crew a dependable scope rather than a number detached from the job.

Record changes before they disappear

Hours, materials, photos and agreed extras belong with the work record. JobDiary supports field records and project work so the office can find the detail needed for billing. Agree variations with the customer and retain the approval. A note that extra work happened is useful evidence, but it does not by itself establish the right price or contractual approval.

Follow the outstanding balance

Keep invoice status and payments separate from job completion. Record part payments against the balance and use the reminder process consistently. JobDiary reminders can run at day 3, day 7 and day 14. Card payments use your own Stripe account, with payment-provider fees and account terms checked separately. Review invoice details and tax treatment with the appropriate adviser.

Check the scope for your business

The software supports the operational record. It does not guarantee debt recovery or certify your VAT treatment. Check the invoice fields, customer details and payment conditions against your own business and current Irish requirements.
