Customer records and job photos: data protection for Irish trades
Irish trades businesses should handle customer records and job photos through a defined purpose, appropriate access and a retention process.
The short answer
Irish trades businesses should handle customer records and job photos through a defined purpose, appropriate access and a retention process.
Irish trades businesses should handle customer records and job photos through a defined purpose, appropriate access and a retention process. Collect what the work needs, not every available detail. Data Protection Commission guidance provides a starting point for the business’s responsibilities.

A practical record review
| Record | Question to ask |
|---|---|
| Customer contact | Why is it needed and is it accurate? |
| Site/access information | Who needs it to do the work? |
| Job photos | Does the image contain unnecessary personal information? |
| Messages and notes | Is the retained content relevant to the job? |
| Export or shared file | Where is it stored and who can access it? |
| Old record | What justified retention rule applies? |
The checklist is an operational aid, not a full GDPR assessment or a universal retention schedule. Different records can have different obligations and lawful bases; seek appropriate advice for the actual business process.
Example: a completion photograph
An illustrative crew needs an image of finished planting. It can frame the relevant work rather than including an identifiable person or unrelated private material. Keep the image attached to the correct job with an explanation of its purpose.
Do not reuse customer photos publicly merely because they were collected for job records. Public demonstrations should use synthetic or appropriately redacted material and permissions where needed.
Review the provider as well as the routine
Check the app’s current data-processing arrangements, access, export and retention information. JobDiary supports work records and field photos, but this does not make every customer process compliant or establish a certification. The business still needs accurate records, responsible users and an appropriate data-protection policy.
Connect this to the next step
