Choosing software
Job management software vs accounting software
Job management software records how work is sold, planned and delivered.
The short answer
Job management software records how work is sold, planned and delivered.
Job management software records how work is sold, planned and delivered. Accounting software records and reports the financial business. They overlap around customers, invoices and payments, but an operational job record does not replace bookkeeping or tax reporting. Start by deciding which system owns each record.

Draw the boundary before buying
| Record | Operational question | Accounting question |
|---|---|---|
| Quote | What work and price did the customer agree? | Has a transaction become reportable? |
| Job | Who is doing it and what happened on site? | Which financial entries belong to the business? |
| Labour and materials | What did this job consume? | How are costs classified and reported? |
| Invoice and payment | What should we bill and what remains owed? | How are balances, tax and bank movements reconciled? |
Ask your accountant which information they need, in what format and how often. A practical answer may be an agreed export and reconciliation routine. An advertised integration needs separate checking: a logo does not prove that invoice amendments, credit notes, deposits and payments move correctly in your setup.
Example: a job is profitable but still unpaid
An illustrative job has EUR 1,000 of revenue and EUR 700 of assigned costs, leaving EUR 300 before costs not included in that calculation. If the invoice has not been paid, the business has not collected that EUR 1,000. Job contribution and cash in the bank answer different questions.
The owner needs the job record to see what work remains and whether the costs are complete. The accounting process needs the right invoice, receipts and bank reconciliation. Calling both screens a profit report can hide the distinction.
Avoid recording an invoice twice
Agree where invoices are issued and how their identifiers are carried into accounts. Decide what happens when an invoice changes, is credited or is partly paid. Reconcile a sample before transferring a full month’s records. Two independently maintained invoice totals create avoidable confusion.
JobDiary supports the operational chain from leads and quotes to work, invoices, payment records and job profit. This guide does not claim a live connector to Xero, QuickBooks, Sage or Revenue. Verify a named connection and its exact behaviour before making it part of your accounting process. Keep statutory accounts and professional advice with the appropriate accounting system and adviser.
