How to collect job photos without losing the context
Collect job photos with a reference, date and a short explanation of the work shown.

The short answer
Collect job photos with a reference, date and a short explanation of the work shown.
Collect job photos with a reference, date and a short explanation of the work shown. A pile of images without context is difficult to use for the next visit or invoice. Photograph what the business needs and avoid unnecessary personal information.
Explore the wider office and field crews guides for the steps around this decision.
A simple evidence record
| Photo purpose | Context to add |
|---|---|
| Before work | Job/site and the condition relevant to scope |
| Progress | Stage, date and any issue requiring a decision |
| Completion | Work shown and what remains outside the image |
| Requested extra | The request and separate approval position |
Use the right work record rather than placing every photo against the customer in general. Naming and comments should make the image understandable to someone who was not on site.
Keep the meaning honest
In an illustrative planting project, a photograph of a finished bed records that visible work. It does not automatically establish completion of the whole project, customer acceptance or specialist compliance. Add the relevant completion note and retain any separate confirmation.
Limit collection and access
Follow your business’s data-protection process for images containing identifiable people or private details. Consider the purpose, access and retention before taking and sharing them. Use synthetic or appropriately redacted examples in public demonstrations.
JobDiary supports field photos and notes, but offline uploads and exact permissions require separate verification. Do not tell the crew a photo is safely on the server until the supported upload/sync process has completed. Data-protection guidance informs the routine; it is not a certificate that a business or app is compliant.
Connect this to the next step
