Leads and customers
Why good enquiries go missing between phone, email and WhatsApp
Enquiries go missing when a conversation ends without a durable record, a responsible person or a next action.
The short answer
Enquiries go missing when a conversation ends without a durable record, a responsible person or a next action.
Enquiries go missing when a conversation ends without a durable record, a responsible person or a next action. More inboxes do not solve that hand-off. Start by checking where a request first arrives and who turns it into tracked work.
Explore the wider leads and customer records guides for the steps around this decision.
Find the point of loss
| Arrival point | Typical hand-off gap | Practical control |
|---|---|---|
| Phone call | Owner intends to remember | Record the request and callback date |
| Reply sent, action not tracked | Add a reference and next step | |
| Request buried under later chat | Summarise it in the enquiry record | |
| Site conversation | Extra work mentioned casually | Confirm what was requested before quoting |
| Office message | No named follow-up owner | Assign responsibility visibly |
These are diagnostic possibilities, not measured loss rates. Review recent requests and identify which ones actually lacked the next step.
Use a short enquiry sweep
At a suitable point in the day, compare new messages with the active enquiry list. Ask whether every genuine work request has a record, whether somebody has acknowledged it and whether the next action is dated. Separate requests needing a survey from requests ready for a quotation.
In an illustrative business, an evening email asks for a garden survey. The owner replies from home but forgets to tell the office. A record saying ‘survey to arrange, office coordinator, Tuesday’ keeps the commitment visible. It is more useful than a general note saying ‘replied’.
Close the loop
If the work is unsuitable, tell the customer and close the active record. If it needs more information, name what is missing. If a quotation has been sent, move the next action to the quote decision rather than keeping parallel enquiry lists.
Do not claim that a CRM automatically reads every call or message. JobDiary includes lead records, but any particular channel connection needs verification. The first improvement can be a consistent manual capture rule that the owner and office both follow.
