Send a quote from your phone by recording the agreed scope and customer details while they are fresh, checking the price and then sending a clearly identified version. Speed helps only when the document is accurate and the next step is clear.

Explore the wider pricing and quoting guides for the steps around this decision.

A site-to-quote checklist

  1. Confirm the correct customer and work address.
  2. Record measurements and the requested result.
  3. Select appropriate price-book lines and adjust site-specific inputs.
  4. State what is included and excluded.
  5. Check quantities, tax presentation and the total.
  6. Identify validity and payment terms.
  7. Send the quote through the supported channel and record the next action.

Do not rush a firm quote for work that still needs a survey, specialist input or a supplier price. A clearly scoped follow-up is better than an immediate unsupported number.

Example: a customer asks for an extra

In an illustrative garden survey, the customer adds hedge removal after the mowing service has been discussed. The quote should keep those as distinct lines, with disposal and access considered. The crew should later see the accepted scope, not a rough note combining both requests.

Before sending If something is missing
Payer and site Confirm details rather than reusing an uncertain contact
Supplier price Mark the unresolved input and follow up
Customer decision Keep it as a quote, not a booked job
Revised scope Issue an identified revision and retain the earlier context

Test acceptance and hand-off

JobDiary includes quote creation and acceptance within the broader work record. In a trial, check what the customer receives, how acceptance is recorded and how the office sees it. Do not assume a quote is accepted because it was opened or because a text says ‘looks good’ without clarifying what was agreed.

Keep the final version linked to the scheduled job, including any agreed extras. Mobile quoting is useful when it removes later reconstruction, not when it merely moves incomplete paperwork onto a smaller screen.

Connect this to the next step

Continue with A landscaping quote template that makes scope clear. If the next issue is elsewhere in the workflow, use Quoted cost vs actual cost: a weekly job review.
