How to handle repeat customers with several properties
Manage a repeat customer with several properties through one verified payer record and separate site records.
The short answer
Manage a repeat customer with several properties through one verified payer record and separate site records.
Manage a repeat customer with several properties through one verified payer record and separate site records. Each visit needs the correct address, access instructions, service and work history. A customer name alone is not enough to dispatch a crew safely.
Explore the wider leads and customer records guides for the steps around this decision.
Give every site its own identity
| Customer-level detail | Site-level detail | Visit-level detail |
|---|---|---|
| Payer and invoice contact | Work address | Date and assigned crew |
| Agreed communication route | Access arrangements | Service performed |
| Customer reference | Site reference | Hours, notes and completion |
| Relevant account history | Standing work instructions | Agreed extra and invoice reference |
Treat a change at one property as a site change unless the customer explicitly changes the whole account. This prevents a locked gate or service cancellation being applied to another address accidentally.
A two-property illustration
Example Customer receives garden maintenance at Site A and a one-off clearance at Site B. The office uses the same payer details for both, but the crew sees a distinct work address and scope. When Site A moves to a winter interval, Site B’s clearance remains unaffected.
If invoices are consolidated, retain the line-level work references so a query can be traced back to each job. If a different legal entity pays for one property, check whether it needs a separate customer record rather than treating a matching contact person as the same account.
Keep exceptions specific
Record no-access visits, customer changes and additional work against the relevant job. Review old standing instructions periodically. Do not share gate codes or unnecessary customer details more widely than the work requires.
JobDiary offers customer and job-history records. Check the actual site relationship and invoice grouping available during setup; this suggested model does not promise an unsupported consolidation function. What matters is being able to explain which customer, property and piece of work each record refers to.
