Pricing the work

How to price a small job with a minimum callout charge

A minimum callout charge should reflect the cost of making a small job possible: travel, setup, the work itself and the administrative hand-off.

The short answer

A minimum callout charge should reflect the cost of making a small job possible: travel, setup, the work itself and the administrative hand-off.

A minimum callout charge should reflect the cost of making a small job possible: travel, setup, the work itself and the administrative hand-off. Calculate it from your business rather than asserting a standard Irish rate. Explain the charge before the customer commits.

Cost the whole visit

Input Illustrative cost
Travel and setup labour EUR 18
On-site labour EUR 24
Allocated vehicle/equipment cost EUR 8
Defined other allowance EUR 10
Total modelled cost EUR 60

The amounts are invented teaching inputs. At a chosen 25% margin on that EUR 60 cost base, the calculated price is EUR 80 before applicable tax. A 25% markup would give EUR 75 instead. Check which rule you intend to use.

Define what the charge covers

State the included time or service, travel coverage, materials and what happens if the work is larger than expected. Keep diagnostic work distinct from repairs where that distinction matters. Do not hide a callout charge until after arrival.

An illustrative property-maintenance job may take only fifteen minutes on site but occupy an hour once travel and setup are included. The business should model that hour rather than price solely from the tool time. Another job nearby may have different travel economics, which is a reason to review the inputs rather than invent a single market average.

Recheck against actual jobs

Compare estimated and recorded time for recent small jobs. Separate planned small work from urgent work with different constraints. Use consistent cost treatment so fuel, vehicle overhead and labour are not counted twice.

JobDiary can keep the quoted service and field record connected. It does not decide what charge your customers will accept or determine applicable tax and contract terms. A minimum charge is a pricing decision supported by a transparent model and clear customer communication.
