Projects and delivery
Project vs one-off job vs recurring visit
Use a one-off job for a defined piece of work, a project for work that needs an ongoing delivery record, and a recurring visit for a service that repeats.
The short answer
Use a one-off job for a defined piece of work, a project for work that needs an ongoing delivery record, and a recurring visit for a service that repeats.
Use a one-off job for a defined piece of work, a project for work that needs an ongoing delivery record, and a recurring visit for a service that repeats. The choice should preserve scope and costs without duplicating the customer’s history.
Explore the wider projects and job delivery guides for the steps around this decision.
Choose the work record
| Work shape | Useful record | What must remain visible |
|---|---|---|
| Single agreed visit | One-off job | Scope, date, completion and billing |
| Several stages or visits | Project | Overall scope, open stages, extras and costs |
| Regular service | Recurring visits | Repeat rule, visit outcome and payment position |
These are practical distinctions within the product boundary. Verify exact status and scheduling behaviour in the current app.
Example: one customer, three needs
An illustrative customer has a single gutter-clearing job, a planting project over several visits and fortnightly garden maintenance. They share customer context but not the same completion condition. Finishing a maintenance visit should not close the planting project.
Avoid creating a new customer for every work type. Equally, do not squeeze a changing project into an undifferentiated repeat note merely because its crew will return.
Check the money hand-off
Decide what the office needs to invoice each work type. Preserve agreed scope, any confirmed extra and the relevant field evidence. Keep deposits or stage payments identifiable against their proper invoice/work references.
JobDiary includes all three work shapes in the full CRM. JobRound is centred on recurring visits and excludes the wider quote, invoice, project and profit surface. Choose the record that matches the work, then test how its completion and cost information reaches the office.
