Quote follow-up templates for tradespeople
Follow up a quote by naming the work, asking whether the customer needs clarification and giving them a simple way to answer.
The short answer
Follow up a quote by naming the work, asking whether the customer needs clarification and giving them a simple way to answer.
Follow up a quote by naming the work, asking whether the customer needs clarification and giving them a simple way to answer. Keep the message separate from payment chasing: no invoice is overdue merely because a quotation has not been accepted.
Explore the wider leads and customer records guides for the steps around this decision.
Three messages you can adapt
First follow-up
Hi [name], just checking you received quote [reference] for [work] at [site]. If anything needs explaining or the scope needs changing, let me know. Are you still considering the work?
Clarifying the decision
Hi [name], following up on quote [reference]. Before I plan the diary, could you let me know whether you would like to go ahead, need a revised scope or prefer to leave it for now?
Closing the active follow-up
Hi [name], I have not heard back about quote [reference], so I will close the active follow-up for now. You are welcome to get in touch if you want to revisit it. We can then confirm scope, price and availability.
Do not imply that a slot is reserved, a price is valid indefinitely or an order exists unless that was agreed. Adjust timing to the quote’s stated terms and the customer’s circumstances rather than using a universal follow-up interval.
Record the answer, not just the sent message
| Customer response | Record | Next action |
|---|---|---|
| Needs a change | Requested revision | Prepare and identify the new version |
| Interested but later | Intended timing | Agree a suitable future follow-up |
| Accepted | Accepted scope and version | Confirm booking arrangements |
| Declined | Outcome | Close active chasing |
| No reply | Last contact and next date | Follow your agreed closure routine |
For an illustrative landscaping enquiry, the customer may accept the planting but remove the clearance. Revise the scope before scheduling, so the crew do not work from the earlier quote.
Keep ownership clear
One person should own the next contact. If the owner speaks to the customer by phone, the office needs the resulting decision in the quote record. JobDiary’s invoice reminders should not be described as automatic quote follow-ups unless that separate behaviour has been demonstrated. These templates work with a manual follow-up list as well as a CRM.
Connect this to the next step
Continue with How to keep customer and site history in one place. If the next issue is elsewhere in the workflow, use How to send a quote from your phone before leaving site.
