Manage window-cleaning records at the customer, site and visit levels, then keep the payment position attached to the relevant work.
The short answer
Manage window-cleaning records at the customer, site and visit levels, then keep the payment position attached to the relevant work.
Manage window-cleaning records at the customer, site and visit levels, then keep the payment position attached to the relevant work. A note that a customer is ‘paid’ can become ambiguous when they have several properties or repeat visits.
Explore the wider trade workflow applications guides for the steps around this decision.
A visit record
| Detail | Purpose |
|---|---|
| Payer and site reference | Correct account and address |
| Agreed service | Work included and frequency arrangement |
| Access | Current practical instructions |
| Visit outcome | Completed, deferred or unresolved |
| Payment reference | Amount/date and appropriate invoice or visit |
| Next action | Return, query or follow-up |
Only keep site details needed for the work, with appropriate access and retention.
An illustrative payment query
Example Customer has two properties. A payment clears one invoice while another remains open. Allocating it merely to the customer name can make the office chase an already paid balance or overlook the other one.
Check the transaction reference, actual billed work and remaining balance. Do not assume a processor’s net settlement is the amount the customer paid, because fees may be accounted for separately.
Keep repeat exceptions visible
A no-access visit needs its own outcome and next arrangement. Do not bill or mark completion merely because the recurring date arrived. Check the future repeat after a change.
JobDiary connects recurring work to the wider customer, invoice and payment record. This guide does not claim direct debit, universal bank reconciliation or automatic route optimisation. If simple visits and paid-or-owed memory are all that is required, compare the narrower round-app approach as well.
