Leads and customers
What should the office know before calling a customer back?
Before calling a customer back, the office needs the reason for contact, the relevant site, the last agreed position and the next decision.
The short answer
Before calling a customer back, the office needs the reason for contact, the relevant site, the last agreed position and the next decision.
Before calling a customer back, the office needs the reason for contact, the relevant site, the last agreed position and the next decision. A callback should resolve the request rather than ask the customer to repeat information already supplied.
Explore the wider leads and customer records guides for the steps around this decision.
A callback preparation card
| Check | Information to find |
|---|---|
| Identity | Correct customer, contact and preferred number |
| Work location | Site address and access contact |
| Existing request | Enquiry, quotation or job reference |
| Last agreement | Scope, booking or outstanding question |
| Reason to call | Survey, quote revision, timing or completion clarification |
| Authority | What the office can confirm and what needs the owner |
Keep invoice chasing separate from quoting and booking unless the call genuinely involves both. The office should not imply a price or available slot has been approved when it has not.
Example: a revised landscaping request
In an illustrative case, a customer asks to remove one part of a planting quote and add waste removal. The office finds the quotation version and records the requested change. It can acknowledge the request, but the person responsible for pricing needs to approve the revised scope and amount.
After the call, record the decision and who will do what next. ‘Spoke to customer’ is incomplete. ‘Customer requested revised scope; owner to reprice; follow-up Thursday’ creates a usable hand-off.
Protect the customer record
Use business accounts and role-appropriate access. Verify identity before discussing sensitive payment or personal information. Keep notes relevant to the work and avoid personal opinions about the customer.
JobDiary connects customer, enquiry and job records, with owner, office and crew views. Confirm the permissions available in the actual account before assuming the office can approve prices or see every financial detail. The preparation card is a suggested business routine, not a guarantee of a particular access setting.
