Leads and customers

Customer spreadsheet vs a trades CRM

A customer spreadsheet can work when one person maintains a simple list.

The short answer

A customer spreadsheet can work when one person maintains a simple list.

A customer spreadsheet can work when one person maintains a simple list. A trades CRM becomes useful when multiple people need customer history, site instructions, quotes and active jobs joined. The choice depends on shared records and hand-offs, not whether spreadsheets are inherently good or bad.

Explore the wider leads and customer records guides for the steps around this decision.

Compare what the record must do

Requirement Spreadsheet approach CRM question to test
Contact list One row per customer Can duplicates be identified sensibly?
Several sites Linked tabs or identifiers Are customer and site details separated?
Job history Additional rows or sheets Can a user retrieve the agreed scope?
Follow-up Date and owner columns Is the next action visible to others?
Crew information Shared subset or export Does access match the field task?

A basic spreadsheet might start with customer ID, name, contact, site ID, next action, responsible person and review date. Do not put multiple unrelated sites into an unstructured notes cell and expect that to remain easy to use.

The changeover threshold

Consider a CRM when the office and crew maintain separate copies, when a customer is recreated for each job, or when the owner regularly explains history already written somewhere else. Those are practical signs of record fragmentation. They are not proof that every CRM will fix the problem.

An illustrative two-crew company can test one customer with a quote, a project and repeat visits. If the shared record makes it easier to retrieve the right instructions, it addresses a real need. If it adds complexity without improving those tasks, keep the simpler arrangement.

Clean before importing

Use stable customer and site identifiers, consistent dates and a review of possible duplicates. Keep a copy of the source file. Confirm what the destination can import rather than assuming notes, attachments and history move with contact details.

JobDiary is worth evaluating where leads, customers, jobs and money need to stay connected. It is not necessary to cancel useful costing spreadsheets or accounting tools merely because the customer list has moved.
