Pricing the work
Lawn-care job costing for business owners: labour, travel and margin
For lawn-care business owners: build quotes from crew hours, travel and equipment costs, then compare actual job costs with your estimate in JobDiary.

The short answer
For lawn-care business owners: build quotes from crew hours, travel and equipment costs, then compare actual job costs with your estimate in JobDiary.
For a lawn-care business owner, job costing connects the quote to the crew’s work and the margin left after delivery. Start with estimated person-hours, travel and equipment use, then compare those estimates with the completed job record before quoting similar work again.

Build an operator’s cost model
| Input | What to record |
|---|---|
| Working time | Person-hours, including setup and cleanup |
| Travel | Time and an agreed allocation of journey cost |
| Equipment | Fuel and a reasonable use/maintenance allowance |
| Clippings | Whether collection and removal are included |
| Site conditions | Access, obstacles and work outside the agreed service |
| Tax and price basis | Confirm applicable treatment and whether the quote includes tax |
Keep these inputs in the business’s estimating record. Assign costs consistently so travel or equipment is neither omitted nor counted twice across the quote and job review.
Worked example, not a market average
An illustrative regular visit uses EUR 22 of labour cost, EUR 8 of allocated travel and EUR 5 of equipment cost, giving EUR 35 before other costs. At a chosen 30% contribution margin on that defined cost base, the price would be EUR 50 before applicable tax: 35 divided by 0.70.
The example is arithmetic, not a claim that an Irish visit should cost EUR 50. If it takes longer, needs disposal or carries additional overhead, revise the inputs. A two-person crew working thirty minutes uses one person-hour, not half a person-hour.
Price the first visit separately where needed
An overgrown first cut may need a survey and a different scope from routine maintenance. Make the agreed service and exclusions clear. After a few actual visits, compare recorded time and costs with the assumptions rather than keeping a rate simply because it was quoted first.
Compare the quote with the completed job
Keep the estimated crew hours and cost assumptions with the quote. Record actual hours, equipment and other costs against the job, then compare the completed work with the estimate. If travel or time on site repeatedly exceeds the allowance, revise the price-book assumptions for future quotes.
JobDiary connects quotes, crew records, invoices and job costs. Use the job-costing features to review the business’s own records, and keep customer-facing scope separate from the internal margin calculation.
