The short answer
Manage recurring and one-off jobs together by reserving capacity for repeat commitments and assessing new work against the remaining people, equipment...
Manage recurring and one-off jobs together by reserving capacity for repeat commitments and assessing new work against the remaining people, equipment and time. Keep different completion conditions visible while sharing customer context.
Explore the wider recurring work inside the crm guides for the steps around this decision.
A mixed-week planning sheet
| Work | Planning question |
|---|---|
| Regular maintenance | Which visits are genuinely due? |
| One-off clearance | Scope, duration and resource requirements? |
| Project stage | What must be completed before the next stage? |
| Deferred work | What is open and what arrangement was made? |
| New enquiry | Is it qualified and accepted, or still being quoted? |
An enquiry is not scheduled delivery work merely because it sounds likely to proceed.
An illustrative crew split
Crew A carries the regular service commitments. Crew B has project stages and one-off work. Shared equipment and a changed site arrangement may require a different allocation, so the owner reviews constraints before promising a new date.
Keep the project’s agreed scope and costs separate from its customer’s maintenance visits. A completed repeat visit should not hide unfinished project work. Likewise, project completion should not cancel the ongoing service.
Review the week as one business
Check accepted work with no date, visits with no next action and completed work waiting for the office. Reconcile changes in the same record used by the crew.
JobDiary covers mixed work inside a wider CRM, with leads, quotes, jobs, projects, visits and money records. It does not claim automatic capacity optimisation. The useful method is having the constraints and decisions visible enough to plan realistically.
