Choosing software
When has your trades business outgrown a diary and WhatsApp?
Your business has outgrown its diary when someone other than the owner cannot reliably find the next action, agreed scope or money status.
The short answer
Your business has outgrown its diary when someone other than the owner cannot reliably find the next action, agreed scope or money status.
Your business has outgrown its diary when someone other than the owner cannot reliably find the next action, agreed scope or money status. The warning is not that paper exists. It is that work depends on one person’s memory to join the records together.
Explore the wider choosing trades software guides for the steps around this decision.
Look for broken hand-offs
| Warning | Check the underlying problem |
|---|---|
| A customer rings twice before receiving a quote | No visible enquiry owner or next action |
| The crew asks what the customer agreed | Accepted scope is separated from the booking |
| The office cannot prepare an invoice | Completion, hours or extras are missing |
| A busy week has unclear earnings | Costs are not attached to the work |
| Cover stops when the owner is away | Customer and site knowledge are held privately |
Review actual recent work rather than guessing how much administration you might save. Choose five jobs and try to retrieve each quote, booking, field record, invoice and payment status. Note which questions need a phone call. This gives you a concrete problem to solve in a trial.
Paper can remain useful
A notebook is convenient for rough measurements or a quick site sketch. WhatsApp can handle an immediate conversation. Neither has to disappear from the business overnight. The important change is choosing one durable customer and job record for information needed by others.
For example, a crew lead can send a short message about a blocked gate. Someone must still record which visit was affected, whether it was completed and who will arrange access. A message saying ‘could not get in’ without a job reference is not a complete operating record.
Decide whether the cost of change is justified
Write down the three missing answers that matter most. A small team may need enquiry follow-up, shared instructions and completion-to-invoice tracking before it needs detailed management reports. Test those three tasks with the people who will use the app.
Stay with a simple diary if everyone can find the work, the money and the next action without relying on the owner. Consider a shared system when the second crew, office help or mixed projects make those hand-offs unreliable. A higher feature count is not, by itself, a reason to switch.
